Sounds unfortunate.

A: Both of your characters have MINOR extra written all over them. Everyone else sounds as if they were written into the plot, while both of your characters could be dropped if there were cancellations.
Happens all of the time, but I usually try to have subplots that involve minor characters, and use NPCs to cover minor roles to make sure essential characters for the subplots are active.

B: It does sound as if there was a kind of large running group involved. That might explain why the central characters were taken, and the prevalence of NPCs.

C: I always try to just explain the full plot and a rough overview of what happened from the GM point of view. Important things that people might have missed...little details. Then we call it and people nip off into groups to discuss or head out.

Going around the room never occurred to me. I'm glad.
